The scenario: You are the chairperson of a 12-person committee exploring options for transportation between the hospitals of downtown Indianapolis. Specifically, you are considering whether or not the People Mover is the best method of transportation, or if there might be other options that are safe, time-efficient, and cost effective. You will eventually need to submit a suggestion for addressing transportation to a larger governing body.
Your committee has split into smaller groups (sub-committees) to explore the following options:
• Keeping the People Mover as-in
• Upgrading the People Mover
• Instituting a bus system
• Utilizing a car/taxi service
• Eliminating transportation options between hospitals
In the next committee meeting, you will be hearing reports from each sub-committee, and your team must make a plan to start drafting a proposal to share with your governing body. When thinking about the flow of the meeting, consider the following points:
• Does the group know each other, or should you provide time for introductions?
• How long should each group have to present their research?
• What issues should each sub-committee report on? (Cost of installation, cost of upkeep, potential liability/hazards, etc.)
• How will your group handle writing the proposal?
• What are next steps for the committee to achieve their objective?
The assignment: You need to prepare (which includes writing an agenda) to make sure the upcoming meeting goes as efficiently as possible. The meeting is scheduled to last 2 hours. Submit a Word document that does the following:
1. On Page 1, details your prep work. Name at least 5 things that you, as the meeting chair, are going to do ahead of the meeting to ensure it’s successful.
2. On Page 2, provide a meeting agenda. Your agenda should contain the following elements:
• The date, time, and title of the group/meeting at the top
• The intended result of each section
• The time allotted for each section
• The names of people in charge of presenting each section
