Write a brief description of the business or organization for which you are making this proposal.
Include the name of the organization or business
Describe what the business does (What the Business Does will be the first header)
Where is it located? Only the City and State are necessary.
Does it have subsidiaries? Is it part of a very large organization or is it small?
How did it come into being and what is some of its history, if you can find that information.
What is the business or organization’s industry?
Note: Many companies or organizations have a web page or brochures with this information. Be sure to include the reference information.
What the organization structure is – publicly traded (sells stock), private, partnership (which kind of partnership?), Sole proprietor, whether there is a CEO, COO, managers, directors, associates, etc. Approximately how many employees are there? (Organization Structure will be the second header)
The Scope of the proposal (Scope of Proposal will be the third header) such as: what groups, individuals, department(s) will be affected by the proposal? Which building? Which location? Which group of people? Which state, etc.? Whatever is pertinent.
Who will this idea benefit? (Who this Idea/Proposal Will Benefit will be the fourth header)
Be specific: employees, customers, management, the company, the community?
What is your best estimate of costs to attempt this proposal and income, if appropriate?
You will have to do some research for this. (Estimated Cost of this Proposal will be the fifth header)
Detail is good here.
Importance of your proposal to the company or organization – why would they care? Is there a financial advantage such as increased income or decreased cost? A customer satisfaction improvement? Better working conditions? A chance to make your boss look good? A safety issue? A way to make things go more efficiently? (Importance of Proposal to Company or Organization will be the sixth header)
I expect as much detail here as possible.
If appropriate, a list of terms and their definitions at the end of the document, that is distinctive for this business or organization.
Sometimes we forget that the reader does not understand certain jargon or terms that you are used to using. It is a good idea to not use jargon even if you think your listener understands it.
Explain acronyms. For example, the first time you use an acronym, spell it out and put the acronym behind it in parentheses. After that you can use just the acronym.
For example: University of Minnesota, Duluth (UMD).
